Photography Policy

To protect the integrity of our brand, respect the privacy of our visitors, and ensure the safety of our exhibits and aircraft, the KF Centre for Excellence maintains the following policy regarding photography on our premises:

1. Professional Photography Clause

Unauthorized professional photography is strictly prohibited.

No professional or commercial photography or videography is permitted anywhere on KF Centre for Excellence property—indoors or outdoors—without prior written authorization from our Marketing & Communications Department.

This includes, but is not limited to:

Fashion/editorial photo shoots
Promotional content for businesses, influencers, or personal brands
Staged or posed shoots using professional cameras, drones, or lighting equipment
Photography intended for resale, publication, or advertising

2. Authorization & Approval Process

To request approval for professional photography, individuals or organizations must:

Submit a written request to the Marketing & Communications Department at least 10 business days in advance.
Include details such as date, time, purpose, equipment, intended use, and any branding or commercial affiliations.
Await written approval and, if approved, comply with all guidelines and staff direction on-site.

Approved photographers may be required to sign a usage agreement and provide proof of insurance or liability waivers depending on the scope of the request.

3. Enforcement & Legal Remedies

KF Centre for Excellence reserves the right to immediately stop and remove any individual engaged in unauthorized photography or videography.

If unauthorized images or video captured on our premises are published, posted online, or distributed in any form:

We may issue a formal takedown request under applicable copyright, privacy, or trademark laws.
If the individual or organization refuses to remove the content upon request, KF Centre for Excellence reserves the right to pursue legal remedies, including but not limited to:
- Cease and desist letters
- Injunctions to remove or restrict use
- Claims for damages if the content misrepresents, defames, or commercially exploits the Centre without permission

By entering the premises, all visitors acknowledge and agree to abide by this policy and understand that unauthorized commercial use of images taken on-site may constitute a violation of intellectual property and facility rights.

4. Personal Photography

Casual, personal-use photography is welcomed and encouraged—please tag us @KFCentreForExcellence when sharing your visit! However, all photography must remain respectful, non-disruptive, and aligned with the Centre’s values and public environment.

Photographer Agreement for Authorized Photography

This Agreement (“Agreement”) is made between the KF Centre for Excellence (“the Centre”) and the undersigned Photographer (“Photographer”) for the purposes of authorizing limited professional photography on Centre premises in accordance with the Centre’s Photography Policy.

Photographer agrees to the following terms:

Authorization: Photographer has received written permission from the Centre’s Marketing & Communications Department to conduct photography as outlined above.
Restrictions: Photographer will not use drones, staging equipment, lighting, or other professional gear outside the scope of this agreement or in restricted areas without further consent.
Conduct On-Site: Photographer agrees to follow all staff instructions, remain respectful of visitors and exhibits, and avoid disruption of the public environment.
Privacy & Safety: Photographer will not photograph visitors without their consent and will avoid obstructing walkways, exhibits, or safety signage.
Commercial Use: Images or footage captured on-site shall not be used for any commercial, promotional, or resale purposes beyond those outlined in this agreement without further written approval.
Credit: If images are published online or in print, the following credit must be included where feasible: “Photographed at KF Centre for Excellence, Kelowna, BC.”
Liability: Photographer agrees to release and hold harmless the KF Centre for Excellence from any liability, claims, or expenses arising from photography activities on-site.
Insurance: (If required by scope) Photographer agrees to provide proof of commercial general liability insurance naming KF Centre for Excellence as an additional insured.

Intellectual Property & Usage

Photographer retains copyright ownership of the photographs but grants the KF Centre for Excellence a non-exclusive, royalty-free license to use the images for its own promotional or archival purposes upon request. If images misrepresent, defame, or commercially exploit the Centre without authorization, the Centre reserves the right to pursue legal action.

Enforcement

KF Centre for Excellence reserves the right to revoke this permission at any time if terms are violated or the shoot becomes disruptive, unsafe, or misaligned with the Centre’s values. Unauthorized commercial use of images will be subject to takedown requests and may result in legal remedies as outlined in the Centre’s Photography Policy.
